To provide comprehensive and responsive project and administrative support to the Business Development Team. This is a key role in the effective running of the Business Development Team and its activities and will involve taking a lead in managing and developing SharePoint. The role also includes some ad-hoc administrative duties to assist the Office Manager in the smooth running of the office.

Main duties

Business Development Team

  • To provide comprehensive administrative support to the Strategic Business Development Manager and other Business Development Team members

  • To assist the Strategic Business Development Managerin monitoring projects and services, managing budgets, and liaising with departments within DUK

  • To book travel and accommodation on behalf of the Business Development Team using agreed suppliers and systems, recording all expenditure accurately as required

  • Work closely with the Finance team and the Business Development Team to reconcile invoices due for payment

  • To support the Business Development Team in the production of written reports and other collateral using appropriate software (e.g. In-Design) including cross-directorate working with the Communications Team as required

  • To manage, organise and support the planning of events, complex meetings and conferences, including delegating duties as necessary, booking venues, arranging equipment and refreshments, preparing packs and registering attendees

  • Assist the Business Development Team in prioritising, coordinating and responding to queries, drafting and sending out correspondence as appropriate and working with the team to ensure appropriate and timely responses

  • To work alongside the Business Development Team to update Dementia UK’sBusiness Development Pack

  • To work with the Strategic Business Development Manager to implement new team policies and procedures

  • Arranging for leaflets/reports/key materials to be mailed to prospective host organisations or commissioners

  • To take part in BDT meetings whenever possible, not only to record what happens in meetings, but to keep up to date with activities of the team.

  • To liaise with Admiral Nurse teams on behalf of the BDT – in collaboration with the Admiral Nurse Administrator

SharePoint/Office 365

  • To be an expert resource within the Business Development Team to manage and develop SharePoint and to quality assure all uploaded content

  • To be the main Knowledge Champion for the Business Development Team, responsible for quality control on all documents uploaded to the Knowledge Bank

  • Develop and lead the Knowledge Champions working group with the Head of Information Services, to establish a culture of information sharing across the charity

  • Continuously manage and develop the SharePoint Project Register and produce accurate timely reports on all areas of project development for the Business Development Team and Senior Management Team as requested

  • Set up and manage any document libraries as needed for the Business Development Team, ensuring all documents are up-to-date and well organised with clear document management policies

  • Work closely with the Business Development Team and other teams, including Information Services, Service Evaluation Team, SCANs, and the Professional and Practice Development Team to integrate reporting and recording needs for all teams to ensure effective joined up working across the organisation

Other Duties

  • Provide cover for reception as and when needed

  • Monitor and collate bookings on the organisation’s Trainline account and ensure relevant documentation is suppliedto the finance team

  • Monitor and collate usage of the Operations company credit card and ensure relevant documentation is supplied to the finance team

  • Ad-hoc minute taking and administrative duties in absence of other members of the administrative team
