We are looking for an organised private sites and fundraising coordinator to plan, negotiate, deliver and review the provision of high-quality venues and events for our team of collectors and fundraisers.

You will research and contact potential venues for our fundraisers, as well as maintaining regular contact with decision makers at venues. You will monitor performance of collections on a weekly basis.

JOB DESCRIPTION

Primary Objectives

To plan, negotiate, deliver and review the provision of high-quality venues and events for collections and face to face fundraising teams so that recruitment targets, key performance indicators and return on investment is achieved in support of RSBC fundraising strategy.

Key Tasks and Main Duties

1. With guidance from the Face to Face Campaign Manager, research, identify and contact decision makers at potential new venue locations for fundraisers to attend, in order for collection and donor recruitment targets, key performance indicators and return on investment (RoI) to be achieved. 

2. Maintain regular contact with decision makers at new and existing venues, managing business relations between the RSBC and venues to increase the number of dates the fundraisers can attend, and to explore further opportunities within each venue, such as more rewarding pitch positions, increasing ROI and further partnership working.

3. Ensure all documentation, checks and information required by venues are completed accurately and delivered to time, including risk assessments, passes, directions and special instructions to ensure all events are attended in an efficient and effective manner. This will increase return on investment through saved time, increased membership income and reduced risk of injury, damage and litigation to the RSBC.

4. Record all confirmed events/sites to the current RSBC database system to avoid duplication of venue bookings and to ensure the maximum coverage of areas is attained to achieve the best possible income and return on investment.

5. Use negotiation skills, and in line with the RSBC procurement for project management, to achieve discounts on venue costs to ensure return on investment is achieved and that expenditure stays within the annual event budget. 

6. Record and monitor results on weekly basis to RSBC database so that collection performance is monitored and recorded. 

7. Support with Recruitment, interview and induct new fundraisers in line with RSBC procedures, ensure all new recruits are fully informed about regulations and expectations while fundraising. 

8. To support with the booking of all donations and banking of donations.

9. Ensure equality and diversity principles are embedded in all aspects of the service

10. Promote and safeguard the welfare of the Society’s students/beneficiaries and all other children and young people/vulnerable adults that have contact with the organisation.

Financial Responsibility 

This role is not responsible for specific budgets (including projects).  However, you are expected to: Monitors spend against targets whilst minimising risk.

PERSON SPEC

Essential qualifications

• GCSE English and maths. 

Essential knowledge, skills and experience 

• Microsoft Office packages and spreadsheet skills relevant to the role. 

• Organise own workload and others including the diary management of multiple staff. 

• Communicate at all levels and in a variety of situations. 

• Work under pressure and prioritise workload. 

• Complete forms and paperwork accurately. 

• Work well with minimum supervision. 

• Confidence and credibility in making telephone calls, frequently cold calls – to businesses to “sell” RSBC favourably.

• Proven ability to negotiate.

• Tactful and diplomatic. 

• Previous administrative experience relevant to this role, such as maintaining spreadsheets and accurate records.   

Desirable knowledge, skills and experience 

• Minute-taking. 

• Working with volunteers. 

• Previous sales experience. 

• Telemarketing. 

• Quick learner who can assimilate information and then communicate accurately and credibly from RSBC’s brand perspective.

• Experience with charity databases (e.g. Raisers Edge).
