JOB DESCRIPTION

Title: Events Fundraising Manager

Reports to:  Senior Development Manager

Salary: £31,000 - £34,000 per annum

Based at: 74 St Annes Road, Woolston, Southampton, SO19 9FF

Hours of work: Full-time [37.5 hours per week]

Job Purpose

  • To manage the events team to deliver the annual schedule of fundraising events

  • Top set and manage the annual events income and expenditure

  • To evaluate and consolidate the existing events programme

  • To develop new events

  • To develop and deliver an overall plan for our events programme

  • To re-evaluate the way we recruit participants to events

  • Develop supporter stewardship and thanking strategies to aid the retention of event participants

Profile and Scope

Sailors’ Society is looking for an enthusiastic, professional, full-time Events Fundraising. The preferred candidate will have:

  • Proven track record of managing exceptional fundraising events including treks, marathons, dinners, networking and cycles.

  • Line management and team development experience

  • Events budget management skills to deliver net income and ROI

  • Ability to set and deliver an events strategy

  • Experience of events planning and execution

  • Experience of recruiting participants and volunteers for events

  • Great attention to detail and ability to work under pressure

  • Experienced in building relationships, both internally and with external suppliers

Reporting Relationships and Organisational Fit

The Events Fundraising Manager will report directly to the Senior Development Manager who is accountable for events, community and corporate income. The Events Fundraising Manager is expected to take a lead in delivering Sailors’ Society events with two direct line reports.

Location

The post is located in Sailors’ Society Southampton offices and the Events Fundraising Manager is expected to live in working week commuting distance.

The post holder will also be expected to undertake some national and international travel for our events, at 6-8 events per year. 

Key Responsibilities:

Strategy Development, Budgets & Planning

  • Manage an annual events budget in the region of £450,000 per year

  • Deliver the planned events programme for 2019/2020 to meet income and expenditure targets

  • Closely track the income and expenditure of the team

  • Make strategic changes to the events calendar as needed

  • Feed into the budget, reforecast and organisational planning process

  • Report on actual figures against budget on a monthly basis, reforecasting every quarter with the Senior Development Manager

People Management

  • Provide team leadership of the events team and act as a professional role model
  • Support the team in delivering the events plan to meet income and expenditure targets
  • Ensure the team follow policies and procedures
  • Undertake performance management in line with our policies
  • Encourage learning and professional development among reports

Events Management

  • Ensure all events are fully budgeted and planned

  • Take the lead in some events and oversee all others

  • Undertake tenders for suppliers where needed

  • Oversee event planning timelines and manage the teams deadlines

  • Take an active role in supporting the team on participant recruitment through multiple media (phone, online, social media)

  • Manage sign off on events materials which are on brand, on budget and to a high standard

  • Oversee the development of risk registers for each event, minimising risk to the organisation and work with insurers on covering the events calendar

  • Work with a range of internal teams or external agencies to develop and deliver marketing and PR for events.

  • Keep up to date with relevant projects and gather collateral for marketing materials

  • Segment, brief and select accurate data for event recruitment based on past analysis

  • Maximise the use of the database for management of the events programme and participants

  • Oversee event evaluations and ensure learnings are captured and applied for future events

  • Provide an excellent supporter journey for our event participants to include recognition and development of their support

Relationship Building

  • Work closely with the Senior Development Manager to build and develop the overall events strategy

  • Support the Events fundraisers in delivering activity and income against their budgets

  • Utilise the current charity database for data segmenting, briefing and selection

  • Work with our networks of Ambassadors and volunteers to deliver events on our behalf or support our calendar of events

  • Assist the Community team with delivering smaller national community events and other special events as required

  • Act as a day to day contact with external agencies ensuring high quality, accurate delivery of events and marketing materials on time and on budget

  • Establish and maintain close day to day working relationships with internal departments to ensure the effective delivery of events

  • Work closely with the Corporate Partnerships Executive to introduce potential future corporate partners

Compliance

  • Ensure that we comply with relevant charity legislation and best practice as it applies to the Events area of fundraising.

The post holder will also be expected to work flexibly across Sailors’ Society and undertake tasks as required.

Person Specification (minimum requirement)

Essential Attributes

  • Experience of staff management and team building in a lively and fast moving organisational environment

  • Experience of large event planning and execution

  • Sales experience, ideally recruitment of participants

  • Excellent relationship builder

  • Experienced networker, someone who easily makes and develops new contacts

  • Strong attention to detail

  • Strong numerical skills

  • Proven ability to work within a team and on own initiative
  • Excellent planning and time management skills

  • Excellent IT skills including a working knowledge of Word and Excel

  • Excellent written and verbal communication skills

Desirable Attributes:

  • Experience of working within a fundraising department
  • An understanding of corporate fundraising
  • Experience of fundraising from churches, schools and community groups
  • Knowledge of the shipping industry
  • Experience of using a Customer Relationship database such as Raisers Edge
